Data Protection Policy

Under the 2018 General Data Protection Regulation (GDPR), the FCDOA must secure the consent of all members to the retention of their details in its database and occasional use as described below.  By joining the Association you give your consent to this.

The Association database contains the following personal information provided by members:

On joining, members choose how much of this information, if any, they wish to be available to other members on the Association’s website. This information is NOT accessible by the public.

We use members’ postal and email addresses to send circulars, Newsletters and Inside Out magazine from time to time. In addition, we occasionally and only when specifically authorised, send members’ names and postal addresses (only) to partner organisations who wish to invite them to events of potential interest. We only do this for invitations and NOT for any other purposes.  If you do not wish us to use your data in this way, please email the Office at fcdo.association@fcdo.gov.uk and we will remove your name from the list.

Financial Data

We do not store or process any of our members’ card or bank details on the FCOA database.  All online payments are made direct to Go Cardless (for membership) or Barclaycard (for other purchases) and do not pass through our office.

Transaction Currency:  all transactions are in GBP.

Export Restrictions:  we are not aware of any restrictions on the export of our goods or services.

Delivery Policy:  goods and tickets will be despatched by Royal Mail to your home address on receipt of payment.

Termination of membership

If a member cancels his or her annual subscription, it is their responsibility – not the FCDOA’s – to cancel any bank standing order or other financial mechanism that may have been created for the purpose of paying the annual membership subscription. The FCDOA has no power to do so.

If the FCDOA is informed of the death of a member, the Chairman will write to the family and the death will be recorded on our website, but it is the responsibility of the surviving spouse, partner or executor to review the deceased’s financial arrangements and so cancel as required any bank standing order or other financial mechanism that might exist in relation to FCDOA membership. After an appropriate period of time, the Executive Secretary will contact the deceased’s widow, widower or partner, if any, to ask if they wish to become a member in their own right. If they choose to do so, then there will be a new subscription arrangement at whichever rate may be applicable.

How we communicate with you

You must provide us with a single email address through which we can contact you and or your spouse/partner if applicable and which you will use to log in to our website.  We are unable to store or use second email addresses.

We will communicate with you by email.  We may do so individually or by bulk email.  We request that you do not unsubscribe from our bulk email facility (currently Mailchimp).  If you choose to do so, it may be difficult to reinstate you, and you will miss important announcements.


Any financial information or advertisements, provided by a third party and carried on the FCDOA website or in editions of the Association’s magazine or in newsletters, are not intended and should not be construed as Association financial advice. The response of individual members to such advertising is their responsibility, not that of the FCDOA.
